The national social security agency is assessing structured document management systems to support reuse of controlled concepts and to publish technical documentation from a single source. This short, 5-day assignment exists to compare market tools for document processing and concept management, using an existing requirements list and focusing on functional analysis and requirement gathering, including experience with oxygenXML or similar tools.
The mission
The project evaluates structured document management systems that enable definition and reuse of glossary concepts, automated information extraction, classification, and publication as technical documentation. The outcome will inform a procurement decision for the agency's glossary and terminology platform that supports national social security guidance and developer documentation.
On a day-to-day basis during the five working days you will run targeted functional and technical tests against a predefined requirements checklist, score each product on fit and gaps, and produce a concise comparative report. You will work with glossary maintainers and technical authors to validate outputs and demonstrate how each tool handles concept reuse, metadata, and export/publishing workflows.
Your responsibilities
- Evaluate candidate document management systems against the existing requirements list and produce a clear, ranked comparison based on functional fit and technical constraints.
- Design and execute short test cases that demonstrate concept reuse, information extraction, classification, and publishing capabilities, using representative glossary content.
- Identify technical gaps and integration considerations, including metadata models, export formats, and automation points for downstream documentation pipelines.
- Deliver a concise written assessment with recommended next steps, implementation risks, and a summary scorecard that non-technical stakeholders can use for decision making.
- Advise the team on practical trade-offs between configurability, vendor tooling, and long term maintenance for glossary governance.
Your profile
Essential skills
- Proven ability in functional analysis and requirement gathering for structured document management or terminology systems.
- Practical experience with document processing workflows, information extraction, classification, or knowledge extraction tools.
- Familiarity with XML-based authoring and tooling such as oxygenXML, DITA, or equivalent structured documentation tools.
- Skill in translating business glossary requirements into testable acceptance criteria and measurable fit/gap assessments.
- Clear written and verbal reporting skills, able to produce a concise comparative report within a short engagement.
