A major public sector organisation that operates municipal services runs a multi-year programme to modernise how documents are created, stored and signed. This role exists to coordinate several parallel document management projects, including a complex document management migration, implementation of an electronic signature solution and integration with M365 tools such as SharePoint, PowerApps and Power Automate; strong experience with BPMN and change management is required.
The mission
The programme covers cross-departmental document lifecycle processes used by thousands of internal users and third-party partners, and spans SAP ECC integrations, decommissioning of legacy applications and the rollout of a single document strategy. Deliverables include a defined document taxonomy, migration plan for existing repositories, an electronic signature implementation and test management aligned with corporate quality standards such as GDPR, ISO27001 and NIS2.
Day to day you will run multiple, simultaneous projects as the senior IT project manager document management, working with a project team of business analysts, developers, test engineers and key users. You will be accountable for scope, schedule, risk and stakeholder alignment, use Jira and TOPdesk for tracking, and coordinate change management and end-user training so that solutions are adopted by the business on release.
Your responsibilities
- Lead delivery of the document management migration and the electronic signature project, ensuring successful cutover and decommissioning of legacy systems.
- Define and maintain the document management strategy and process models using BPMN so stakeholders have a clear, executable plan.
- Drive test management activities, establishing test strategies, acceptance criteria and coordinating end-to-end testing with SAP ECC and M365 integrations.
- Manage risks, issues and project governance, reporting to the PMO and ensuring accurate capacity and budget tracking.
- Coordinate change management with business owners, deliver training materials and run user acceptance and go-live support.
- Facilitate communication between technical teams (SAP, Power Platform, middleware) and non-technical stakeholders to translate requirements into deliverable scope.
Your profile
Essential skills
- Proven delivery experience as an IT project manager on document management migrations and implementations.
- Practical expertise in Business Process Modelling Notation (BPMN) to translate business processes into technical requirements.
- Strong change management skills, able to design and execute adoption and training plans.
- Hands-on familiarity with M365 solutions (SharePoint, PowerApps, Power Automate) and with SAP ECC integrations.
- Solid knowledge of PRINCE2 and agile delivery methods (Scrum, waterfall experience acceptable).
- Experience with test management, Jira and TOPdesk and working within GDPR, ISO27001 and NIS2 constraints.
- Excellent stakeholder management and clear communicator across business and IT teams.
