The procurement support function at a major Belgian financial institution handles supplier records, contract publication and supplier risk follow-up for a large, regulated procurement organisation. This Multi Skilled Administrative role focuses on accurate supplier data management and contract verification using core tools such as MS Office, Ivalua and SAP while working closely with buyers and governance teams.
The mission
The team manages supplier lifecycles for thousands of active suppliers and supports contract publication across procurement categories. The technical landscape combines a procurement platform (Ivalua), an ERP (SAP) and standard Office tooling to ensure contractual data integrity and regulatory compliance. Work is performed in a structured, audit-focused environment where accuracy and traceability matter.
Day to day you will own supplier administrative tasks from data creation to archival and support supplier risk assessments and contract checks. You will validate and maintain supplier master data, encode risk requests and publish contract records so buyers and compliance teams can rely on consistent information. Typical interactions include working with 10 to 20 buyers and coordinating with regional teams to resolve data or publication issues.
Your responsibilities
- Maintain and improve supplier master data to ensure completeness and legal accuracy, reducing downstream exceptions for buyers
- Validate and publish contract records, flagging and resolving discrepancies between encoded data and contractual documents
- Execute and follow up supplier risk assessments, escalating high-risk cases and ensuring questionnaires are returned and recorded
- Update and archive supplier documents and IBAN/contact information to preserve traceability and audit readiness
- Support buyers and stakeholders with administrative requests and operational troubleshooting in Ivalua and related tools
- Identify recurring data quality issues and propose process or template changes to reduce manual corrections
Your profile
Essential skills
- Minimum 6 years of administrative experience, ideally with supplier-facing processes
- Proven capability in supplier data management, contract verification and handling sensitive information
- Strong proficiency with MS Office (Excel pivoting, VLOOKUP/XLOOKUP, clear reporting) and comfort learning procurement systems
- Accurate, detail-oriented and able to prioritise multiple files under tight deadlines
- Strong communicator able to work with buyers and teams in other countries
Preferred skills
- Practical experience with Ivalua
- Experience using SAP for supplier/account master data
- Previous administrative experience within procurement or supply chain environments
