A public-sector IT operator for the French-speaking community maintains and evolves administrative systems and infrastructure that support education and public services. This role exists to provide operational budget control and procurement support inside the Service Management Office, with hands-on use of SAP and Office 365 for financial reporting and order management.
The mission
The team manages a portfolio of RUN activities and associated projects for several centres of competence, tracking budgets, commitments and receipts across dozens of procurements. The technical landscape combines SAP for purchasing, Excel trackers and OTOBOS for financial dashboards, so accurate data and traceability are essential to keep governance decisions fact-based.
Day to day you will operate as the Support SMO in a junior execution role, processing SAP purchase orders, updating registries and producing the monthly OTOBOS pack used by steering committees. You work closely with centre owners, project managers and suppliers to detect and correct imputed mistakes, highlight overspend risks, and prepare concise decision material for governance.
Your responsibilities
- Maintain up-to-date registries of RUN envelopes and project allocations, ensuring traceability of references, imputations and supporting documents.
- Ensure coherence between requests, commitments, orders, receptions and recorded expenses, and correct recurring imputation errors with stakeholders.
- Process SAP purchase orders for goods and services, following purchasing rules, tracking statuses and driving receptions to close commitments.
- Monitor consumption versus committed versus remaining budgets and escalate actual or forecasted overruns to the competence centre owner with clear evidence.
- Prepare the monthly otobos financial reporting for committee review, including figures, identified risks and recommended actions.
- Coordinate follow-up of committee decisions and supplier information to close actions and keep pilot reports reliable.
Your profile
Essential skills
- Practical experience in operational purchasing or budget control, able to execute and trace purchase operations and budget movements.
- Proven use of SAP for purchasing, including order creation, tracking and reception handling under WBFIN purchasing rules.
- Strong Excel skills for consolidating trackers and producing clear numerical reports.
- Familiarity with Office 365 collaboration tools for document management and action tracking.
- Ability to produce concise, fact-based reports and to follow actions through to closure with stakeholders.
Preferred skills
- Experience with OTOBOS or similar financial reporting and risk/action registries is an advantage.
Education
- Degree or equivalent experience in finance, accounting, procurement or administrative control.
