The organisation is a Belgian financial supervisory authority that enforces conduct rules and supports consumer financial education. This role exists to strengthen the audit service that carries out administrative investigations and manages banker oath compliance; the position requires strong Microsoft Office skills and familiarity with SharePoint and OneNote to support legal researchers and case handlers.
The mission
The audit service runs two complementary functions: formal investigations across supervisory domains and the management of the banker oath file. The unit is a multidisciplinary team of about twenty people including legal investigators, case managers and three management assistants; work is document-heavy, time-sensitive and governed by precise procedural rules.
You will provide the administrative backbone for investigations and dossiers so investigators can focus on legal and technical analysis. Typical work includes finalising letters and reports, managing incoming and outgoing correspondence, maintaining auditable case files in SharePoint, and organising internal and external meetings and occasional travel. Your work directly affects case throughput and the quality of submissions to enforcement colleagues.
Your responsibilities
- Produce accurate, publication-ready correspondence and reports by proofreading, formatting and applying the service’s templates and procedures
- Manage the lifecycle of incoming mail and email, ensuring timely dispatch, correct routing, and traceable filing in document management systems
- Maintain and update case dossiers in SharePoint and OneNote so files remain complete, auditable and ready for legal review
- Coordinate and schedule meetings, prepare agendas and minutes, and handle practical arrangements for external attendees and occasional travel
- Support the team by anticipating administrative bottlenecks, proposing procedural improvements, and contributing to smooth daily operations
Your profile
Essential skills
- Bachelor degree in office management or equivalent professional experience
- Minimum five years’ experience as a management or team assistant, preferably in a legal or regulatory environment
- Proficient with Microsoft Office applications, specifically Outlook, Word, Excel and PowerPoint
- Practical experience with SharePoint and OneNote, or demonstrable ability to learn document management systems quickly
- Strong written and verbal communication skills in both Dutch and French, plus practical command of English
- Ability to prioritise under pressure, work independently and as part of a small multidisciplinary team, and meet strict deadlines
- Organised, critical thinker with a professional and mature approach to sensitive information
